Proposals for COVID-rules AGM. Your views?
Given the present COVID restrictions your Management Committee yesterday considered arrangements for the Club’s Annual General Meeting which is scheduled for Thursday 12th November.

The meeting has to take place if only to approve the annual company accounts which have to be submitted to Companies House before the year end but the Committee is aware that many members would not feel comfortable assembling in large numbers and in addition current government guidance also restricts numbers to 30. Under our Articles of Association a quorum for our AGM is 25 and there is no provision for postal or proxy voting.

Your Committee’s current view is:
1. To progress with the AGM in person on the advertised date with maximum attendance of 30.
2. To restrict the agenda to the absolute bare bones i.e. approval of the company accounts, determination of membership subs for 2021-22 and election of officers (altho’ as previously advised all Captains are continuing for another year).
3. To circulate the accounts and all reports and proposals to all members 21 days before the meeting allowing 10 days for questions and comments etc. All questions and answers to be circulated to all members 10 days before the meeting.
4. A ballot to be held of those members wishing to attend in person – we would anticipate around 15 places being available in addition to the directors and office holders.

You will appreciate that this is not an easy situation and the Management Committee would like to hear your views. Options include:
* An in person meeting as above (max 30 attendees);
* A Zoom meeting (max 100 participants);
* An in person meeting with a quorum of 25 to formally approve the accounts and then move to postpone the AGM until January when more members may be able to attend. Such a postponement is in accordance with our current constitution.

Please give serious consideration to this and advise the Club Secretary of your views at secretary@brackenghyll.co.uk before 10th September.

Dependent upon the feedback received your Management Committee will then reconsider at its next meeting on 21st September if necessary.
